How do I set up my email client to receive my Student Email? (Example: Outlook Express 6.0)?
What you need to know before you configure Outlook Express 6.0 (or your favorite email client) to receive your Student Email account here on campus or at home is the following:
- Incoming mail server type: IMAP
- Incoming mail server: student.gc.maricopa.edu
- Outgoing mail server: student.gc.maricopa.edu (SEE NOTE)
- Your eGCC Username
- Your eGCC Password
- Your Student Email Address: eGCCUsername@student.gc.maricopa.edu
NOTE for those setting up at home: Do you use either of the following companies' services for your internet service? If so, take note...
- Cox Communications
- Please set the Outgoing mail server to smtp.west.cox.net.
- AOL
- The Outgoing mail server is still student.gc.maricopa.edu, but you will need to follow additional instructions to get your Student Email account working properly. Once you have completed the steps below, please continue to the next section regarding having AOL as your Internet Service Provider.
Now, to configure Outlook Express 6.0, read the following directions before proceeding, just so you have a better understanding of the process:
- Start Outlook Express.
- Click on "Tools" located in the Menu Bar, and select "Accounts...".
- Click "Add" and select "Mail". The "Internet Connection Wizard" window will appear and will take you through a series of questions.
- For your "Display Name", type your name (eg: John Doe). Click "Next".
- For your "Internet Email address", type eGCCUsername@student.gc.maricopa.edu, replacing eGCCUsername with your eGCC Username. Click "Next".
- For "Email Server Names", select "IMAP" as your Incoming Mail Server's type (THIS IS IMPORTANT!!!).
- Type student.gc.maricopa.edu as both the Incoming and Outgoing Email Server. If you're setting this up at home and your internet service provider is Cox or AOL, see the light red box above.
- For "Internet Mail Logon", enter your eGCC Username as your "Account Name", and leave the Password box blank. Uncheck both boxes next to "Remember Password" and "Log on using Secure Password Authentication (SPA)".Click "Next".
- For the "Congratulations" message, click "Finish".
- If you're asked to populate folders from the mail server, click "Yes". If you aren't asked to do so, simply double-click on the inbox under "student.gc.maricopa.edu". You'll be asked to provide your Password at this time. Once your login is accepted, you'll see a list of folders in a new window. Click "OK" to accept. You should now see your student email!
It is very important that you define your Incoming Mail Server's type as IMAP. If not, your settings will not work.
To test this account, simply create a new email message (click "New" at the top of the Outlook Express window to do so) and send the email to yourself at your Student Email account. If you receive that message in your Inbox, you're done! If not, start the process over again.
NOTE: The left-hand column of the default Outlook display may include a section labeled Local Mail under which is listed folders (including "Inbox") that are not associated with your Student Mail. To access your Student Mail, click on the student.gc.maricopa.edu heading in the left-hand column. The program may prompt you to create folders for that section before the Inbox for your Student Mail account is added to the display.

I'm trying to set up my Student Email at home on Outlook Express and I have AOL as my Internet Service Provider. I can't get it to work. Can you help please? (Example: Outlook Express 6.0)
AOL has their servers set up so that you have to configure a few more things in Outlook Express (or Thurderbird, Eudora Mail, etc) so that you can then send and receive email.
Although the following instructions are assuming you're setting up Outlook Express 6.0, the instructions are essentially the same for most email clients.
- First, please follow the steps just above this section for setting up your Student Email account in Outlook Express 6.0. Once you complete Step 9 in the basic instructions above, you'll find yourself looking at the main window of Outlook Express 6.0.
- In Outlook Express, please go to Tools > Accounts and then double-click on the student.gc.maricopa.edu account to view it's properties.
- The "Properties" window should now be visible. Please click on the "Advanced" tab.
- Right next to the text "Outgoing Mail (SMTP)", you'll see the port number 25 typed in the box. Please change the number from 25 to 587 by typing it in the box. Click the "Apply" button to save this change. Don't click the "OK" button yet!
- Now, go to the "Servers" tab. See where it says "My server requires authentication"? Click on the box next to it so the box is checkmarked.
- Note that the "Settings" button next to the "My server requires authentication" box is now available to you (meaning, the box is not greyed out). Please click on the "Settings" button to open a new small box called "Outgoing Mail Server".
- In the "Outgoing Mail Server" box, please select the radio button next to the text "Log on using". Then, type in your AOL Account name and Password in the spaces provided.
- Please click "OK" until you're back to the Internet Accounts box you opened when you started following these AOL-specific instructions (Step 2). Then, click "Close" to return back to the main Outlook Express window.
- Now, try sending an email.
Please let us know if you have any trouble with these instructions by sending an email.

What is the maximum size of emails I can send?
The maximum limit should be sufficient for most students who must email their assignments to their instructors. There are official guidelines for email usage, which are available at this website. Please read them and adhere to these policies, as violation of these policies is grounds for terminating your Account, and possible expulsion.

How do I attach a file to an email message?
You can attach almost any kind of a file (document, spreadsheet, database, presentation, graphic, picture, etc.) to a mail message and send it to someone. For instance, you might be able to submit coursework to your instructor in this manner.
To attach a file to your email
- Create a new mail message and address it to your instructor. Your instructor's course page might have a link that will do this automatically for you when you click it. If this is an assignment for a class, your instructor may have given you specific instructions about the subject line of your message and about naming guidelines for your files. Be sure to follow them! (See the Get Help section for more hints on getting your email read.)
- As a courtesy, write a short note telling the person what you are sending them: include the file name (eg: ENG101-Assignment1.doc), what program you used to create it (eg: MS Word 2003 --> not all files are readable), and why you are sending it (eg: This is Assignment 1).
- Click on the paperclip on the top of the composition window. Select File (if you are sending a file). Then navigate to the file's location on the network or on a floppy disk, highlight the file name, and click on Open. The file name will appear in the Attachment tab in the Address area of the mail message header. To get back to the address, click on the Address message icon in the mail message header. (It looks like a card file.)
- You can, if you wish, select to receive a Return Receipt. This will notify you that the message has arrived at the recipient's mailbox. Note - getting a Return Receipt back doesn't mean that the person has read your message! To choose this option, click on the Message Sending Options in the mail message header.
- Now send your message. If you have selected the Return Receipt option, you should receive a mail message confirming delivery in a short time.

How do I check my emails for viruses?
We live with viruses, both air-borne and computer-transmitted, every day. Most people can take some simple precautions against colds, but we probably can't avoid them completely, and drug companies are continually developing new treatments. It is the same with computer viruses. Some good computing habits will prevent the most obvious viruses from infecting your files, but if you do encounter a virus, there are a number of treatments available.
Symptoms of Viruses
Just as we don't always know why we don't feel well, sometimes it is difficult to know when a computer has been infected with a virus. Some viruses try to remain invisible; others may announce their presence loudly. If you encounter corrupted files, unreadable disks, a significant decrease in available disk space, programs that won't launch, unexplainable out-of-memory errors, or other erratic behavior, scan for viruses as part of a more extensive troubleshooting procedure.
Checking for Viruses
We do not automatically run virus-checking software on eGCC workstations when they start up. You can scan a workstation if you wish, but more useful is to check your floppy disks or your personal storage space on Gecko, especially if you receive many email attachments or use a computer elsewhere that many people share. Virus-checking programs allow you to scan various drives, including a floppy, and will usually report the presence of viruses and give you the option of repairing them.
If you have a computer at home, you can install virus-checking software (sometimes by downloading a free version you can try before purchasing). Generally, you can also set the software to check for viruses on a schedule or to check all floppies or to check certain kinds of files before opening them. Most companies also provide the option of subscribing for periodic updates to keep your virus definitions current.
Windows
We have have recently changed virus-protection software on eGCC and now are running Norton Anti-Virus. (If you go to the web pages for this program, you can check to see if we are running the latest version. If not, let us know!) You can find this program by going to Start > Programs > Utilities. Launch the application and select the location to scan (H: drive, your floppy disk, etc). You can either choose to just look for viruses or to disinfect them.
Macintosh
The virus-checking program on the campus Macintosh computers is Norton Antivirus version 9.0.3. The software is currently set to auto scan, but you can also manually scan by going into the Applications folder, look for the Norton Anti-Virus icon and double-click the application icon to launch the program. Select the location, and then choose Diagnose or Repair.
Want to Learn More?
There are a number of web sites devoted to information about viruses. Select your favorite search engine and search for "computer virus" or a similar term. If you don't include "computer" in your search, expect to see entries about strategies for avoiding colds or the flu in your search results. Or, if you have a virus-checking program, read the files in Help. These files usually contain a lot of general information, as well as some strategies for protecting your files.

How do I determine how big an email is, and how do I delete it?
Some people have recently encountered an interesting catch-22 when accessing their Student Email on the eGCC.
Let's say that someone sends you a message with a 3MB mail attachment. You try to delete the message, only to receive an error message stating that you don't have enough space to delete the message. Here are a few things to do when faced with this situation:
Learning an email's size
To check message size, you should be in Outlook Express' Mailbox. Toward the upper right of this screen, there is a heading line with titles such as "Subject", "Sender" and "Date".
- Right-click on that heading line and select "Columns..." from the menu that appears.
- In the window that appears, scroll through the list until you find the "Size" item - make sure the box next to it is checked.
- Click on "OK" to close the box and save your changes. Under the "Size" heading, you can view the size of each message.
This information is especially useful if you are not certain exactly what message might be oversized and thus causing problems. If you no longer want to see the "Size" heading, you can perform the steps again and ensure that the box next to "Size" is unchecked.
Deleting an Oversized Message
Deleting an oversized message in Outlook Express involves three simple steps:
- In the Inbox under the "student.gc.maricopa.edu" heading, look for the message(s) you wish to delete.
- Click on the message once, and press the "Delete" key on your keyboard, or click on the "Delete" icon just below the Menu Bar in Outlook Express. The little icon for this message should now have a red X through it.
- Then, when you're sure you want to permanently delete your message(s), look for the "Purge" icon located in the same area as the "Send/Receive". (If you can't see it, look for a » in the upper right-hand corner, just under the Windows logo. If you don't see that symbol either, right-click on any of those buttons and select "Customize" so you can add the "Purge" button to the Toolbar").
- Click on "Purge", and the messages will disappear from both Outlook Express and the email server.
